About our Therapeutic Community – Lower Plenty:
OHV’s adult residential rehabilitation program at Lower Plenty provides live-in treatment for individuals, couples and parents with their children (aged 0-12 years old). Operating as a therapeutic community, the values-based program provides a structured environment where up to 143 residents and 30 staff work together to help people make changes and choices on their pathway to recovery.
About this Opportunity:
You will provide administrative support to the Clinical Services Team to assist in their case management of clients and ensure their understanding of clinical systems. The key purpose of the position is to ensure that best practice processes are applied in the collection, communication, dissemination and tracking of resident related records.

Duties include but are not limited to…
- Provide administration support to the Clinical Services Team and management
- Coordinate the written communication activities of Clinical Services Team members as they relate to the case management of residents.
- Audit resident exit processes.
- Respond to enquiries from treating client GPs and/or relevant external agencies.
- Respond to FOI requests and subpoena file preparation.
- Conduct regular audits of the TC resident database, ensuring information is accurate.
- Ensure documentation on the OHV resident database is up-to-date and consistent with data collection requirements.
- Ensure rigour and structure in practice, good record keeping, and file management (including medical records).

A week in the role:
If you were here last week, you would have:
- Attended a Clinical Meeting and provided feedback regarding any issues relating ACSO or Redicase.
- Maintained ACSO and Redicase files, uploading and closing files when residents have completed treatment or exited.
- Applied for funding extensions for residents where applicable.
- Responded promptly to external requests for information in accordance with Freedom of Information and Privacy Policies.
- Enjoyed daily delicious resident prepared lunch alongside your colleagues and residents.
Key Selection Criteria:
We are looking for detail orientated and dynamic Administrator to support our Clinical Services Team within the Residential Therapeutic Community.
To be successful in this role, you must…
- A Cert 3 or Cert 4 in Business Administration and/or relevant work experience.
- Hold a current Victorian Drivers License.
- Have demonstrated knowledge and experience in office administration, including database management, record keeping methods and administrative procedures, and an understanding of confidentiality and privacy protocols.
- Strong organisation and highly developed communication skills (both written and verbal), with a consultative approach to addressing issues.
- Be able to show initiative and capacity to work adaptively to meet changing organisational needs.
- Demonstrated commitment to teamwork, and an openness to giving and receiving feedback.
- Confident, friendly, professional approach, with the ability to relate to professionals and deal with challenging people and situations.
